Your run sheet is gold to us, it tells us where to be at what time allowing us to capture all that matters to you & produce our best work.
On your wedding day you will find us liaising with Celebrants, MC’s, band members and venue coordinators to do our bit in ensuring that the timeline runs smoothly. It is your ultimate responsibility to schedule everything so that it works, but don’t worry, we’re here to help.
STEPS:
Refresh yourself on which Photography package you booked with us, eg: 10 Hour Photography Package. All the special moments you would like captured must fit into this timeframe.
Confirm what time your ceremony be held.
Work backwards from the ceremony time to schedule bride/groom preparations. Take the travel time to the ceremony from the bride/groom preps into consideration - don’t forget to also consider travel time between two different prep locations if you will be getting ready separately.
Then work forwards from the finish time of the ceremony using the Time Guide below.
TIME GUIDE
Always allow time for travel between locations & consider extra time for finding a car park in busy locations
Bride &/or Groom preparations:
Please allow 1 hour for each. During this time we capture the details (gown, shoes, bouquet, engagement ring/s, speeches, perfume/cologne, bow tie, wedding rings, cuff links or what ever your version of details is). We also capture atmosphere and a couple of portraits if time allows for it.
Groom prep: The bridal party members are not to be dressed in their wedding outfits when we arrive (be showered and have hair done), we spend the first 20min photographing details and atmosphere then advise when to start getting dressed.
Bride Prep: Hair and Make-up should be finished or very close to finishing when we arrive, once again we spend 20min shooting details/ atmosphere before getting dressed. We aim to have the Bride dressed and all ready 20min before she is due to leave.
Ceremony:
Ceremony: As long as is required
Post-ceremony congratulations: 15 minutes
Family portraits: Maximum of 10-12 family portrait combinations, requiring 20-30 mins. Please list all family combinations on your run sheet and be legends and have someone who knows the family available to help swiftly move the family through the photo combinations.
Portrait Session:
Portrait time: Allow 1 hour – 1.5 hours (unless you're having a first look portrait session, where your portrait photos occur before your ceremony). The first 20mins of portrait time include the bridal party, they are then welcome to head off & have fun while we create some magic with you as a couple. Or otherwise, you are welcome to spend the whole portrait time with your bridal party; it is completely up to you. We generally find that the more natural and intimate moments come about when your bridal party are not watching!
If you have a location in mind for portraits please list this on your run sheet. If you don’t have anything in mind, don’t worry! We location scout prior to your wedding day, we look for magical spots which will suit your wedding day vision. Our goal is to provide variety in your gallery. You can leave the location scouting up to us.
Note: We have a lot of fun with the portrait time, it will not be stressful or awkward - you have our word. We will capture the natural you, having fun and if you’d like directions for poses we will give you a gentle prompt. Nothing scary, it will be effortless.
Reception:
Reception: If you would like the details of your reception photographed please allow at least 30mins for us to do this before guests enter the room and after the room is completely set up.
Note: It is usually best to group the formalities early on in the night. You may or may not have many formalities. As a guide these are some of the usual elements to a reception in order of occurrence - Bridal party intro, Married couple intro, cake cut, entrees, speeches, mains, first dance &/or father-daughter dance (or what ever version you may have!)… And then the dance floor comes to life! We only need 30-45mins of dance floor action to capture some good reactions and after that we are happy to leave you & your crew to let your hair down and party on into the night.
Additional Hours Of Photography
Additional hours can be added to your Photography Package any time from the day you place your deposit to secure us as your Wedding Photographers until 4 weeks out from your wedding date. Let us know at your earliest convenience & we will update your payment schedule.
Additional hours prior to 4 weeks from your wedding date: $250 p/hr.
Additional Photography is priced at $450 p/hr on the day of your wedding.
RUN SHEET
Thank you for all your hard work, planning a wedding is like taking on a second job! Please send your run sheet through to us at least 4 weeks prior to your wedding date - before you do, ensure everything listed on the Run Sheet Form is included. The sooner you provide your timeline for your day, the sooner we can meet in person to discuss it (if you’d like to!). Staying true to this timeline then allows us one week to review and discuss your run sheet with you, ensuring it is approved by the following deadline: Your wedding day run sheet must be 100% finalised & approved 2 weeks prior to your wedding day. No later!
Consider:
The start time for us as Photographers needs to align with the Videographers unless discussed prior.
Is there something in particular that cannot be missed on your wedding day? Note it down on your run sheet.
If you would like sunset photos allow a specific time on your run sheet for this (Google can help with what time the sun sets at the particular time of the year).
